Village of Pingree Grove Community Events Committee met May 15

Boardroom

Village of Pingree Grove Community Events Committee met May 15. 

Here is the minutes as provided by the committee:

1. Attendees-

     ◦ Committee Members - Jackie Pierce, Mary Anne Merchnt, Melissa Hirschbein, Kimberly Wylie, Brittany Wylie, Karen Weeks

2. Approval of Minutes- Approved by Mary Anne Merchut

3. Meeting Actions Item

     A. Touch-a-Truck Lessons Learned

          1. Good turn out – 340 passports handed out – approx. 1-1.5K attendees

          2. Keep the 1st Saturday in May for 2019

          3. Fire truck was a no show :-(

          4. Ambulance had a dead battery

          5. Raffle wasn't held, instead we'll do a FB raffle – post a photo of a past Pingree Grove event for an entry to win

          6. Crash simulator was awesome

          7. We made nearly $200 on the bake sale

          8. Kona Ice paid us $143

          9. Garbage cans were a no show

          10. Next year, make food goody bags for the drivers and volunteers, so they can eat during the event. Water, granola bars, etc.

          11. The PGCE tent is MIA – Jackie will look into it

     B. Garage Sale Update

          1. EventBrite isn't capturing extra info (sale items, neighborhood, etc.) Kim will get another event listed and e-mail Dawn to get the new link posted. And will e-mail the 13 currently registered to get their info.

          2. Natasa will bring signs to put in yards. Meet on 6/13 at 6:30 at the CLCC parking lot

     C. Sponsor Update

          1. Kim created one-page follow up letter. Need Village to print with addresses

          2. Kim will get culled spreadsheet to Village

          3. We may need to have a special get together to fold and tape

          4. We received Flood Bros donation – YAY

          5. DR Horton donation still not received. Jackie will follow up. If their huge donation to the Village means they won't be donating to us this year, we need to know this ASAP, and hopefully the Village will sponsor us for the normal DR Horton amount

          6. Jackie will talk to Steve about getting the new landscape company as a sponsor.

     D. IDC Update

          1. The Lennys and Friday Jackson are confirmed as our bands this year

          2. Jackie will confirm CLCC will be closed

          3. Stage line up may have one more spot to fill

          4. No vendor fair update

          5. Kim will create the 2018 IDC website

          6. We're still waiting to hear back from the game truck

          7. The car show will be held – but will be casual – anyone wanting to show their car after the parade can pull into the charter school's little parking lot. We'll need PG's police to monitor that gate to let those cars only in.

          8. Melissa will have Grand Marshal magnets made for the car, with a space where we can customize it with names each year – use Cricut with vinyl decals

           9. Everyone will brainstorm ideas for cheap giveaways during the parade.

           10. We are going to try to get some church groups to do some activities in the activity area – water tattoos, penny carnival games, etc.

           11. We need a spotlight for the gazebo this year

           12. We are going to do a hand stamp for anyone who donates this year.

       E. Fundraiser Update

            1. Wine glass painting – Jackie still needs to check on this

            2. Niko's Night – Jackie will confirm an August date with Niko – SELL TICKETS AT IDC!

Old Business

      A. Money Hunt

           1. Melissa will reach out to the Milk House for the money for the Fall Concerts that are still owed

           1. Milk House will be invited to participate in IDC, but must pay this past due amount before they will be allowed to attend

           2. Melissa will reach out to get the Xmas Train money still owed

New Business

      A. IL 200th Birthday

           1. We've been asked to do something special for the IL 200th birthday, near the birthday of December 3rd. For Tree Lighting we will do small birthday cupcakes. Hopefully, the Village will pay for these.
