City of Aurora Indian American Community Outreach Advisory Board met November 11. 

Here is the minutes as provided by the board:

Attendees: Gautam, Leela.

Dial in: Roopa, Shweta, Ashok, Nadia, Sukanya, Anu, Kunal and Sandeep

The meeting began with a call to order and acceptance of the agenda.

The members had a preliminary discussion on the board elections

It was decided to allocate $ 1500 for the sponsor appreciation party to be held on Dec 8

Members discussed the feedback from the Diwali event:

      The sweet dish could be distributed by 7.30 pm

      Better communication with the school custodians

      Sponsors be welcomed and escorted to their chairs

      Incentives for the volunteers to stay late at the venue

      Vendors be given a deadline of 9.30 to vacate the venue

      The logistics of the master of ceremonies announcing the raffle winner be improved

      The procedure for attendees and vendors to exit the venue be streamlined

      A better method for the vendors to serve food to clients. Maybe boxed food could expedite the procees

      Decorations were being bumped by attendees. This could be cordoned off and a volunteer asked to guard it

      The sound was not very clear especially to attendees at the back of the hall

      Yard signs to show the directions to vendors, VIPs etc

Gautam proposed and Kunal seconded the motion for adjournment.
